Who we are

HomeProp, LLC (“HomeProp,” “we,” “us,” or “our”) is a Florida limited liability company that provides residential property management, real-estate brokerage, and related technology services in the Tampa Bay region. We are the data controller responsible for the personal information described in this policy.

This policy describes the information we collect through our website at homeprop.com, our owner and tenant portals, our forms, our voice and chat assistants, our email and SMS programs, and our property management operations, and how we use and share that information.

Information we collect

We collect personal information from several sources. The categories below describe what we collect and where it comes from.

Information you give us through website forms. When you fill out a form on our site (for example, a buyer-prospect form on /buy, a seller-prospect form, or a general contact form), we collect the information you provide. This typically includes your first and last name, email address, phone number, the page or context that produced the inquiry, any free-text message you wrote, your stated buyer or seller intent, and your consent to be contacted by SMS and email.

Information collected through our showings platform. When you request a showing for one of our managed rental properties, we collect the information you provide to ShowMojo, our third-party scheduling provider. This typically includes your name, email, phone number, requested showing time, identity-verification information that ShowMojo requires before confirming a tour, and any answers to ShowMojo’s pre-tour questions. ShowMojo shares that information with us as our service provider.

Information collected through our email program. When you subscribe to our email program (directly, through a form on our site, or by checking the marketing-email consent box on a lead form), we collect the email address and any profile attributes (such as your stated interests) and pass them to Klaviyo, our email-marketing platform, which manages our subscriber lists, sends our messages, and records engagement events such as opens, clicks, and unsubscribes on our behalf.

Owner-prospect chat (KOS). When you interact with our owner-prospect chat assistant on /manage/owners, we collect the messages you send, the assistant’s responses, a per-session identifier, basic timing metadata, and a hashed representation of your IP address used solely for rate limiting and abuse prevention. Conversations are sent to Anthropic, which processes them solely to generate responses on our behalf and does not use them to train its models.

Tenant voice assistant (La’Dawn). When you call or chat with La’Dawn, our voice and chat assistant for current tenants, we collect the audio of your call (where you have called a recorded line), a transcript of the conversation, the property and unit you identify, your stated reason for the call, and any maintenance or service request details you describe. Voice recordings are transcribed by AssemblyAI, our speech-to-text provider, and the transcripts are sent to Anthropic, which processes them solely to triage your request and generate responses on our behalf and does not use them to train its models.

Tenant and owner portal data. When you log into your owner or tenant portal, we collect the information you provide to or generate within Propertyware, our underlying property-management platform. This includes lease terms, payment history, work-order requests and status, owner statements, occupancy records, and related communications. Propertyware operates this portal as our service provider.

Information from our website and analytics tools. When you visit our site, we automatically collect standard server log information (IP address, browser, operating system, referring page, the pages you visit, and the time of your visit). We use Google Analytics to understand aggregate site usage, and Klaviyo’s tracking pixel where you have a Klaviyo profile to associate site activity with your subscriber record for marketing personalization.

Information from our SMS program. Described in detail in the “SMS and text messaging” section below.

How we use information

We use the information we collect to:

  • Operate our property management business, including processing leasing inquiries, scheduling showings, executing leases, dispatching maintenance, generating owner statements, and communicating with current owners and tenants;
  • Respond to inquiries, route leads to the appropriate buyer’s, seller’s, or property-management agent, and follow up on conversations you initiate with us;
  • Provide and improve our owner-prospect chat assistant, our tenant voice assistant, and other AI-assisted tools we offer on our site and to our customers;
  • Send transactional and operational messages by email and SMS, including appointment confirmations, maintenance updates, lease and renewal communications, and account-related notices;
  • Send marketing emails about our services and Tampa Bay market updates, where you have given us consent and have not unsubscribed;
  • Maintain the security of our site, services, and customer data, including detecting and preventing fraud and abuse;
  • Comply with our legal, accounting, and regulatory obligations, including obligations under Florida real-estate, brokerage, property-management, and landlord-tenant laws;
  • Aggregate, anonymize, and analyze information to understand market and operational trends.

SMS and text messaging

We operate an SMS program through Twilio, our messaging platform. Our toll-free messaging number is +1 (844) 960-4527.

Message types. When you have opted in, we may send you SMS messages for the following purposes: lead follow-up and inquiry response, showing and appointment reminders and confirmations, maintenance and service-request status updates, lease and renewal communications, owner and tenant account notifications, and other operational messages directly related to our services to you.

Message frequency. Message frequency varies based on your interactions with us and the lifecycle stage of your inquiry, lease, or owner relationship.

Costs. Standard message and data rates may apply, depending on your wireless plan and carrier.

How you opt in. You opt in to receive SMS messages from us only by giving us your express consent at the point we collect your phone number. This consent is collected by checking an SMS-consent checkbox on a form on our website (for example, a buyer-prospect or seller-prospect form), by signing a lease addendum that includes SMS consent language, or by replying to an opt-in confirmation prompt we send you. We will not send you marketing or promotional SMS messages without your express prior consent.

How you opt out. You can opt out of receiving SMS messages from us at any time by replying STOP to any message from our toll-free number. You will receive a confirmation that you have been unsubscribed, and we will not send you further SMS messages other than as required to confirm your opt-out. You can also request help by replying HELP to any message, and we will respond with information on how to reach us.

No marketing data sharing. HomeProp does not share SMS opt-in data or consent information with third parties or affiliates for marketing purposes. This policy applies regardless of whether the third party is a parent, subsidiary, or business affiliate. We share SMS-related personal information only with Twilio (acting as our service provider to deliver messages on our behalf) and as otherwise described in the “How we share information” section below.

Carrier disclaimer. Wireless carriers are not liable for delayed or undelivered messages.

How we share information

We share personal information in the following limited circumstances.

Service providers. We share information with third-party service providers who perform services on our behalf and who are contractually obligated to use that information only as we direct. Our service providers include:

  • Amazon Web Services (AWS) — hosting, compute (Lambda), data storage (DynamoDB, S3), secrets management, and related cloud infrastructure;
  • Twilio — SMS message delivery;
  • Klaviyo — email-marketing list management, message delivery, and behavioral analytics for our email program;
  • SendGrid — transactional email delivery;
  • ShowMojo — rental-showing scheduling and lead intake;
  • Propertyware — owner and tenant portal services and the underlying property-management platform we use to operate our business;
  • Google — Google Maps for property and neighborhood mapping on our site, and Google Analytics for aggregate site usage analysis;
  • Anthropic — large-language-model API used to generate responses in our owner-prospect chat assistant and our tenant voice assistant;
  • AssemblyAI — speech-to-text transcription used by our tenant voice assistant.

Buyer’s and seller’s agents within our brokerage. When you contact us through a buyer-prospect or seller-prospect form, we route your inquiry to the appropriate licensed agent within HomeProp’s brokerage so that the agent can follow up with you.

Legal requirements and protection. We may disclose information when required by law, subpoena, or other legal process; when we believe disclosure is necessary to protect our rights, your safety, or the safety of others; or to investigate fraud or respond to a government request.

Business transfers. If we are involved in a merger, acquisition, financing, reorganization, sale of assets, or bankruptcy, personal information may be transferred as part of that transaction. We will notify you of any such transfer that materially changes how your personal information is used.

We do not sell personal information, and we do not share personal information with third parties for those third parties’ own marketing purposes.

Cookies and tracking

We and our service providers use cookies and similar technologies on our site, including:

  • Functional cookies required for the site to operate, such as cookies that maintain a session or remember a form-submission state;
  • Google Analytics cookies used to measure aggregate site usage (these can be opted out of using the Google Analytics opt-out browser add-on);
  • Klaviyo tracking cookies and pixels used, when you have a Klaviyo profile with us, to associate your site activity with your subscriber record for personalization and segmentation.

You can disable cookies through your browser settings. Doing so may impair some features of the site.

Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, and disclosure. These safeguards include encryption of data in transit (HTTPS/TLS), encryption at rest for sensitive credentials (stored in AWS Systems Manager Parameter Store as SecureStrings), least-privilege IAM roles for backend services, and rate limiting on public endpoints. No method of transmission or storage is completely secure, however, and we cannot guarantee the absolute security of your information.

Your rights and choices

Subject to applicable law, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you;
  • Correction — ask us to correct information that is inaccurate or incomplete;
  • Deletion — ask us to delete personal information we hold about you, subject to legal exceptions (for example, we cannot delete information we are required to retain by Florida real-estate, lease, or accounting laws);
  • Opt out of marketing — unsubscribe from our marketing emails using the unsubscribe link in any marketing email, opt out of our SMS messages by replying STOP, or contact us directly;
  • Portability — request a copy of the personal information you have provided to us in a structured, commonly used format;
  • Non-discrimination — exercise any of these rights without being denied service or charged a different price for our services.

To exercise any of these rights, contact us at management@homeprop.com or at the mailing address above. We will verify your identity before responding and will respond within the time required by applicable law.

We do not sell personal information, and we have not done so in the prior twelve months.

Children’s privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to us, please contact us at management@homeprop.com and we will delete it.

Governing law

This policy and any dispute regarding our collection, use, or disclosure of your personal information are governed by the laws of the State of Florida, without regard to its conflict-of-laws principles. The exclusive venue for any dispute arising out of or related to this policy is the state and federal courts located in Hillsborough County, Florida.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices, our services, or applicable law. When we make material changes, we will update the effective date at the top of this policy and, where required, provide additional notice (for example, by email to subscribers or by a banner on our site). Your continued use of our services after the effective date of an updated policy constitutes acceptance of the updated policy.
